Virtual Interior Design Services – UK

Please read these Terms and Conditions carefully before engaging LABODE (“the Company”, “we”, “us”). By applying for or commissioning any service, you agree to be bound by the terms outlined below.

1. About LABODE & Scope of Services

LABODE provides virtual interior design services, including layout and spatial design, 3D visualisation, and digital design guidance for residential projects across the UK.

Our services include:

  • Virtual Interior Design Concept (3D visualisation without full sourcing)

  • Curated Virtual Interior Design (comprehensive design with sourcing)

All drawings, layouts, 3D renderings, CGI imagery, floor plans, elevations, videos, and other digital design materials (“Design Materials”) are produced for visualisation and design guidance purposes only.

They are not intended to replace or be used as:

  • Architectural drawings

  • Structural or engineering plans

  • Plumbing, electrical, or mechanical specifications

  • Construction documents

  • Building regulations submissions

Clients must always engage qualified professionals (architects, engineers, builders, contractors, or consultants) for technical drawings, permissions, compliance, and construction.

2. Ownership & Use of Design Materials

All Design Materials remain the intellectual property of LABODE.

Clients are granted a non-transferable licence to use the Design Materials solely for the purpose of completing the specific project for which they were commissioned.

Design Materials may not be:

  • Reused for other projects

  • Shared commercially

  • Replicated or resold

  • Altered or redistributed without written consent

  • Used as construction documents

LABODE reserves the right to use anonymised visuals, drawings, or excerpts of work for portfolio, website, social media or marketing purposes unless otherwise agreed in writing.

3. Limitations of Liability

While every service is delivered with professional care and good faith, LABODE shall not be held liable for:

  • Construction errors or contractor misinterpretation

  • Implementation decisions made by builders or trades

  • Supplier delays, changes, or discontinuations

  • Product availability, pricing fluctuations, or substitutions

  • Decisions made by third parties

  • Structural integrity or building regulation compliance

  • On-site measurements taken by third parties

  • Changes made to designs during implementation

All design decisions implemented by the client, contractor, or supplier are done so at the client’s discretion and responsibility.

LABODE is not responsible for any loss, damage, or expense arising from reliance on Design Materials beyond their intended illustrative purpose.

Clients should verify all dimensions, specifications, and technical details with qualified professionals before implementation.

4. Fees, Payment & Booking

Virtual Interior Design Concept and Curated Virtual Interior Design

For a single room:

Full payment is required in advance of work commencing. Payments are non-refundable once work has commenced. A refund will only be considered if LABODE fails to deliver the agreed scope within 30 days of the agreed delivery date, without reasonable cause. Project timelines are outlined in the proposal and are subject to client responsiveness at each stage.

For two or more rooms:

  • Fees and scope are confirmed in a written proposal

  • A 50% deposit is required to secure a project start date

  • The remaining balance is due prior to the commencement of concept development

  • Deposits are non-refundable once LABODE has commenced work or held project capacity

  • Final payment is due before delivery of final design files

Project timelines are outlined in the proposal and are subject to client responsiveness at each stage.

Invoices must be paid within 15 days unless otherwise agreed. LABODE reserves the right to pause work or withhold deliverables until payment is received in full.

5. Scope Changes & Additional Work

Any changes outside the agreed scope, including additional revisions, rooms, renders, sourcing, layouts, or extended support, must be agreed in writing and may incur additional fees.

Fixed-fee proposals apply only to the original scope. Additional work will be quoted separately and may be subject to availability.

Examples of work outside standard scope:

  • Revisions beyond the agreed number

  • Additional rooms not in original proposal

  • Changes to agreed layouts after approval

  • Extended consultations or support

  • Rush delivery requests

  • Expedited revisions

6. Revisions & Design Development

Each service includes a defined number of revision rounds as outlined in the service description and proposal.

Revisions are intended for refinement of the agreed design direction, not complete redesign.

Examples of revisions:

  • Adjusting furniture placement within agreed layout

  • Refining colour selections within agreed palette

  • Modifying sightlines or views

  • Updating specific product selections

Examples of redesign (chargeable as additional work):

  • Changing entire layout structure after approval

  • Requesting different aesthetic direction after moodboard approval

  • Adding new rooms or areas

  • Changing project scope significantly

LABODE will advise if requested changes constitute additional work before proceeding.

7. Project Timeline & Delays

Estimated timelines are provided in good faith and are subject to:

  • Timely provision of required information by the client

  • Availability of necessary measurements, photographs, or documentation

  • Client feedback and approvals within reasonable timeframes

  • LABODE's project schedule and capacity

Delays caused by late client responses, missing information, or scope changes may extend the delivery timeline.

LABODE will make reasonable efforts to notify clients of any anticipated delays but cannot be held liable for circumstances beyond our control.

8. Products, Orders & Third-Party Suppliers

Where product suggestions, sourcing guidance, or shopping lists are provided:

  • All purchases are made by the client directly with suppliers

  • LABODE does not hold responsibility for supplier performance, lead times, defects, quality, or returns

  • LABODE does not guarantee product availability, pricing, or specifications

  • Products shown in visualisations may be illustrative of style/concept only

Once items are ordered, responsibility for delivery, quality, and returns transfers entirely to the client and supplier.

Any support LABODE provides regarding supplier issues, product sourcing, or order management after project delivery is chargeable at our hourly rate and cannot be guaranteed.

Clients should verify all product dimensions, specifications, and suitability before ordering.

9. Client Responsibilities

To ensure successful project delivery, clients must:

  • Provide accurate measurements, photographs, and project information

  • Respond to queries and provide feedback within reasonable timeframes

  • Review and approve designs at agreed milestones

  • Notify LABODE of any concerns or questions promptly

  • Engage qualified professionals for technical, structural, or regulatory matters

  • Verify all specifications with contractors and suppliers before implementation

Failure to fulfil these responsibilities may result in project delays or additional charges.

10. Cancellation & Refund Policy

Cancellation by Client before work commences:

  • Deposits are refundable minus any work already completed (e.g., discovery calls, site visits if applicable)

Cancellation by Client after work commences:

  • No refunds are provided once design work has begun

  • Clients will receive all completed work up to the point of cancellation

  • Outstanding invoices remain payable

Cancellation by LABODE

LABODE reserves the right to decline or discontinue a project if:

  • Client fails to provide necessary information after reasonable requests

  • Client behaviour is abusive, harassing, or unprofessional

  • Payment terms are not met

  • Project requirements fall outside LABODE's expertise or capacity

In such cases, completed work will be delivered and fees charged proportionately.

11. Client Information & Data Protection

LABODE collects and processes personal information solely for the purpose of delivering design services and administering contracts, in accordance with UK GDPR and Data Protection Act 2018.

We may collect and retain:

  • Name and contact details

  • Project address and details

  • Photographs and measurements

  • Correspondence and feedback

  • Payment information (processed securely via third-party providers)

Information is only shared with third parties where necessary to support the project (e.g., contractors, suppliers, or service providers) and only with client consent or contractual necessity.

We will never publish identifiable client information, testimonials, project addresses, or property images without explicit written consent.

12. Privacy & Marketing

Data Storage:

  • Data is stored securely on password-protected systems

  • Data is retained only as long as necessary for project delivery and legal obligations

  • You may request access to, correction of, or deletion of your data at any time

Marketing Communications:

  • Submitting an enquiry form may result in inclusion on the LABODE mailing list

  • You may opt out of marketing communications at any time

  • We will never share your email address with third parties for marketing purposes

13. Force Majeure

LABODE shall not be liable for any failure or delay in performing obligations due to circumstances beyond reasonable control, including but not limited to:

  • Acts of God (floods, earthquakes, storms)

  • Pandemic or epidemic

  • War, terrorism, or civil unrest

  • Government restrictions or regulations

  • Failure of technology, internet, or power supply

  • Supplier or subcontractor failures

In such circumstances, LABODE will make reasonable efforts to notify clients and resume services as soon as practicable.

14. Dispute Resolution

In the event of any dispute arising from these Terms and Conditions or the provision of services:

  1. The client should first contact LABODE in writing to attempt informal resolution

  2. Both parties agree to act reasonably and in good faith to resolve disputes

  3. If resolution cannot be reached, the matter may be escalated to mediation or legal proceedings as appropriate

15. Severability

If any provision of these Terms and Conditions is found to be invalid or unenforceable by a court of law, the remaining provisions shall continue in full force and effect.

16. Amendments

LABODE reserves the right to update these Terms and Conditions at any time. Updated terms will be posted on this page with a revision date.

Clients with ongoing projects at the time of changes will be notified and given the option to proceed under previous or updated terms.

17. Governing Law

These Terms and Conditions are governed by the laws of England and Wales.

Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

18. Acceptance

By applying for, commissioning, or paying for any LABODE service, you confirm that you have read, understood, and agree to these Terms and Conditions.
